Agenda:
A meeting agender should list topic (s), or activities want to cover during the meeting. The agender’s main purpose is to give participants a clear outline of what to expect in the meeting, lead each task, and intell duration of the meeting with start and end date and time. We believe having this information before and during the meeting should ensure that proper steps are followed, which leads to an efficient and productive meeting
Regardless of the meeting’s length, which could be an hour or more, an organizer should follow the following rules.
When starting with a meeting goal, make sure the meeting’s purpose is clear, and every task needed to be cover is related to the objective. At the end of the meeting, a coordinator can send the meeting record’s achieved goal as focussed as possible. For example, a meeting gear towards reduces or increases the association Monthly contribution fee.
To keep participants engaged during the meeting, ask for their collective input beforehand to ensure the meeting meets its needs. This means the inquiry of topics or questions needed to be over in the meeting. Once you have a collective list of topics or ideas from them, the meeting board committee reviews the ideas, decides what idea needs immediate attention, and calls for a meeting. List the question you want to address.
Upon finding meeting ideas from participants, the meeting committee will have to list questions that need answers. For example, “membership restrictions” can be written this way; under what conditions should we consider membership restriction? Using this prompt will ensure you are inviting discussion and gathering questions and answers from participants.
This part of the agenda should ensure enough time allocated to cover all the topics you have planned for the meeting. It also allows participants to adjust their comments and questions to accommodate within the timeframe.
In some cases, someone other than the meeting coordinator will lead the discussion after introducing the topic. Therefore, if other people mediate topics during the meeting, you must inform them about their respective topics. This aids the meeting running smoothly and ensures that everyone’s mind is present and prepared for their responsibilities.
We asked every meeting coordinator to locate some time to review topics to help participants better understand what decision they made and what information they discussed to retain the necessary information or steps after the meeting. Identify what messages were well received and what was rejected, and why.
Note: all meetings files must be kept in apropriate location for future review
